Meeting recorder

Record Meet, Teams, or Zoom calls, store transcripts, and attach them to deals and investments.

Meeting recorder

Turn recording on or off for the organisation under Settings → Setup → Manage Features → Meeting recordings. This is available for single-family offices and multi-family offices. When it is off, Inbox → Record, deal and investment Record meeting, calendar Turn on notetaker, and uploads are hidden, and the notetaker does not join new calls. Recordings already in Inbox → Recorded stay.

Capture founder and co-investor calls without leaving FamilyOFX. Recordings and markdown transcripts are stored on your organisation’s file storage under an org-scoped folder, summarised for the inbox, and linked to deals, investments (positions), and contacts when we can match them confidently.

Where to find it

PlaceWhat you can do
Inbox → RecordedBrowse call threads (filter Recorded). Open a thread for the summary, recording, and transcript.
Inbox → RecordSend a notetaker to a Meet / Teams / Zoom URL, or upload audio / video and a transcript.
CalendarOn a calendar’s … menu, choose Turn on notetaker. Meetings on that calendar with a Meet, Teams, or Zoom link are joined when they start. On a personal calendar, those recordings are visible to the organisation.
Deal or position → Messages → Record meetingSame recorder with that deal or investment pre-selected as a hint.
AI AgentsIf a call cannot be auto-linked, a triage chat asks which deal, investment, or contacts to attach.

How a finished call is stored

  1. Conversation — an inbox thread under Recorded (same Messages system as email).
  2. Summary — short markdown in the message body (AI-generated when a transcript exists).
  3. Recording — audio/video file attached to the message.
  4. Transcript — markdown attachment ready for AI chat (get_document_content / note-style viewing).
  5. Links — when confidence is high, the thread and transcript are linked to the matching deal and/or position and contacts. Those calls also appear on the entity Messages and Documents tabs.
  • High confidence (for example you started the recorder from a deal page, or a unique contact email matched) → links are created automatically.
  • Otherwise → FamilyOFX opens an AI Agents chat with the summary, transcript document id, and candidate matches, and asks clarifying questions. The Recorded thread includes a link to that chat.

Platforms (v1)

Google Meet, Microsoft Teams, and Zoom via the self-hosted meeting notetaker. Live phone / Twilio recording is not included yet; you can still upload a phone recording and transcript.

Product copy never names the underlying recorder stack — it is white-labelled as your organisation’s notetaker (e.g. {Org name} Notetaker).

Ops (hosted recorder)

FamilyOFX uses a hosted meeting-bot API for now (no recorder containers in this repo). Branding in-app is unchanged: users only see Inbox / Agents / deal Messages; the bot joins calls as {Org name} Notetaker.

In apps/ofx/.env (see also deploy/vexa/.env.example):

VariableValue
VEXA_API_BASEhttps://api.cloud.vexa.ai
VEXA_API_KEYFrom vexa.ai account page
VEXA_WEBHOOK_SECRETShared HMAC secret for completion webhooks
VEXA_DEFAULT_AVATAR_URLOptional. Camera-tile image sent when the bot is created. Defaults to https://familyofx.com/images/familyofx-bot-background.png

Point the hosted webhook at your API: https://<your-api-host>/api/calls/webhooks/vexa (header x-vexa-signature).

Self-hosting the recorder on a dedicated instance later uses the same env vars with a different VEXA_API_BASE — no product change.
